Privacy notice

Who we are

This tool is run by H3O Business Technologies Limited ("H3O", "we"), a UK company, registration number 11482807. We are the data controller for anything you give us through it.

This notice covers the calculator only. Our main website has its own privacy policy, which applies to h3o.biz.

Using the calculator

The projects you enter, the figures, the matrix and the results are worked out in your browser. None of it is sent to us and we cannot see it.

Copy link packs your list into the web address so you can come back to it or send it to a colleague. The link holds the project names and figures you typed, nothing else. It is not stored on our servers: it only exists where you paste it, and anyone who has it can open the same list.

Like any website, the page is served by a hosting provider (Vercel). Their servers keep standard request logs for a short time: the address the request came from, the browser and the time. We do not use these to identify you.

Giving us your details

We ask for your details in two places: to download the PDF, and to add a fourth change to your list. The first three are free, and the changes you already have stay yours to edit, remove and share whether or not you go on.

The PDF is drawn in your browser. We do not receive a copy of it.

In either place we ask for:

• your first name and email address (required)
• your last name, company, phone number and job title (optional)

When you press the button, we send to HubSpot:

• the details above
• a summary of your list: each project's name, cost, net gain per year, payback and verdict, plus the link that reopens it, and which of the two places you gave your details in
• the internet address the request came from, and a HubSpot cookie if one is already in your browser from a visit to h3o.biz, so HubSpot can link this to that visit

These pass through our server on the way to HubSpot. Our server keeps the internet address in memory for up to ten minutes, to limit repeated submissions, and keeps nothing else.

Once you have given your details, the page makes a note in your browser's own storage so it does not ask you again. The note is a yes or no, nothing more: no name, no email. It stays on your device, is never sent to us, and clearing your browser's site data removes it.

Booking a call

Get my roadmap in 24 hours opens HubSpot's booking page inside this site. Anything you enter there goes to HubSpot under HubSpot's privacy policy, and lands on the same contact record as a PDF download.

What we do with it

We use the details you give us to:

• know who asked for the PDF or added a fourth change, and what they were weighing up
• follow up by email or phone about the projects you calculated and how H3O could help
• arrange and hold a call you have booked

We rely on our legitimate interest in following up with businesses that have used our tool. If you would rather we did not contact you, tell us and we will stop. Every email we send has an unsubscribe link.

We do not sell your details or pass them to anyone else for their own use.

Where it is kept

Your details are held in HubSpot, on its European data centre. HubSpot processes them on our behalf. The page itself is hosted by Vercel.

Cookies

This page sets no cookies of its own and uses no analytics or advertising trackers.

The booking page inside Get my roadmap in 24 hours is HubSpot's, and HubSpot may set its own cookies when you open it. If you have visited h3o.biz, HubSpot's tracking cookie from that site may also be present in your browser; see the h3o.biz privacy policy for how cookies are used there.

How long we keep it

• Contact details in HubSpot: for as long as we are in touch with you, or reasonably expect to be. We remove contacts we have had no dealings with.
• The internet address held by our server: up to ten minutes.
• Hosting logs: for the short period Vercel keeps them.

Your rights

You can ask us at any time to:

• tell you what we hold about you
• correct it
• delete it
• stop contacting you

Email info@h3o.biz with the email address you used and what you would like us to do. We will reply within a month, and usually much sooner.

If you are unhappy with how we have handled your details, you can complain to the UK Information Commissioner's Office at ico.org.uk.

Changes to this notice

If what the tool collects changes, this page will change with it and the date at the top will move.
